RecruitX for high school athletic departments
Most athletic departments run transfers out of a shared spreadsheet, an email thread and a filing cabinet. RecruitX replaces that with one workspace your athletic director, compliance administrator and coaches all work from — with your own roster data, your state's transfer rule and a record of every decision.
Upload the roster you already keep
Export the spreadsheet your department already maintains and upload it as a CSV. RecruitX reads your column names, lets you confirm what each one means, checks every row for missing names, bad email addresses and duplicates, and shows you the result before a single record is saved. Accepted fields include student ID, first, middle and last name, graduation year, grade, sport, team or level, position, student email and phone, and parent or guardian name, email and phone.
Let athletes and families claim their own record
An uploaded record stays a school record until the student or parent creates an account and claims it. A name-only similarity is flagged as a possible match and is never merged automatically, so two students with the same name never end up as one file.
Review transfer requests in order
Incoming and outgoing requests arrive with the reason for the move, the parent or guardian authorization, and the documents attached. Your staff approve, deny or request more information, and every step is time-stamped.
Work the state rule, with the citation attached
Each open case generates a checklist from the state association rule version in force, with the section and effective date cited. RecruitX flags conflicts such as an undisclosed previous school. The final eligibility decision always stays with your school or your state association.
Keep each sport separate
Coaches see only the sports they are assigned to. A football staff member cannot see basketball athletes or basketball cases, and that separation is enforced in the database, not just hidden in the interface.
One subscription for the school
$417 per month or $5,000 per year covers the whole athletic department — every sport, every coach, unlimited athlete records. You pay during sign-up and your school activates itself as soon as the payment clears.
Getting started takes one afternoon
- 1. Create your school, confirm its details and choose a plan.
- 2. Invite your athletic director, compliance administrator and head coaches.
- 3. Upload your roster CSV and review the rows RecruitX flags.
- 4. Assign each coach to their sport and open the sport workspace.
RecruitX supports the people who make eligibility decisions; it does not make them. Checklists, conflict flags and assessments are decision support. Eligibility review is required and the determination belongs to your school or your state athletic association.
